The Comm Agent reads only the email that matters
Search work lives in email. The Comm Agent connects to Gmail or Outlook, opens only the messages your rules allow, and turns them into logged activity, parsed CVs and draft replies. Personal details never reach the AI model, and a recruiter approves every reply.

You decide which email it may open
Scope rules are set per workspace by an admin. The agent checks every new message against them. Anything that does not match stays unread: personal mail, finance, HR and everything else.
Rules can be narrowed or paused at any time, and the connection can be removed from the workspace in one step.

02 · Minimum data
What the AI model sees, and what it does not
Before a message reaches an AI model, the Comm Agent replaces people with record IDs and removes the details the task does not need. The model works out intent and drafts text. The personal data stays inside Fortemap.
Kept for the task
- Which search or role it relates to
- The message's intent, such as interest, feedback or a question
- Dates and next steps mentioned
Removed first
- Names, replaced by record IDs
- Email addresses and phone numbers
- Compensation and other sensitive figures
03 · Prepare
What it does with an in-scope message
Logs it to the right record
The message is attached to the matching candidate, client or search timeline.
Picks up CVs
Attached CVs are parsed and checked for duplicates before a profile is created or updated.
Drafts a reply
A suggested reply appears on the record, ready for the recruiter to edit.
Suggests next steps
Follow-ups such as feedback due or an interview request are flagged for the recruiter.
04 · Decide
A person sends. Always.
The Comm Agent never sends email, moves a candidate or updates a status on its own. Drafts and suggestions wait on the record until a recruiter approves, edits or discards them. Every step is written to the audit log.
- Works with Gmail and Google Workspace, and Outlook and Microsoft 365
- Other email providers through IMAP, coming soon
- Same behaviour whichever connector you use
- Connection and rules managed by workspace admins
Questions
About the Comm Agent
Can the Comm Agent read my whole inbox?
No. It opens only messages that match the scope rules set for your workspace, such as mail from client domains or candidates on active searches. Other messages are not read.
Does the AI model see candidate personal data?
No. Names are replaced with record IDs, and contact details and compensation are removed before any AI model sees a message. Only the fields the task needs are passed on.
Will it send emails on its own?
No. The Comm Agent drafts replies. A recruiter reviews, edits and sends them.
Which email providers does it support?
Gmail and Google Workspace, and Outlook and Microsoft 365, today. Other providers through IMAP are coming soon.
Is the Comm Agent available now?
It is in beta with selected customers. Ask to join.
